1. Who we are
Refined Renos provides bathroom and home renovation services in Aurora, Newmarket, Toronto and the surrounding Greater Toronto Area in Ontario, Canada. We are responsible for personal information under our control. Privacy enquiries can be directed to us using the contact details at the end of this policy.
Personal information means information about an identifiable individual. This policy covers our website enquiries and customer relationships. External websites and platforms have their own privacy policies.
2. Information we collect
The information we collect depends on how you interact with us. It may include:
- Contact details: your name, email address, telephone number and city, and your project address when needed to arrange a visit or carry out work.
- Renovation details: the type of project, approximate budget, preferred start date, requested upgrades, measurements, design preferences and the information you include in your message.
- Photos and documents: images of your space, plans and other files you choose to provide. Files may contain identifying details or embedded information such as when and where a photo was taken.
- Customer records: correspondence, estimates, agreements, scheduling information, invoices, payment records and service or warranty enquiries arising from your project.
- Technical information: your IP address, browser and device information, pages requested, access times and information used to operate the website and detect spam or misuse.
Please provide only information relevant to your enquiry. Do not send identification documents, payment card details, medical records or other sensitive information through the quote form.
3. How we use information
We use relevant personal information to:
- Respond to questions, review your project and prepare estimates.
- Arrange consultations, site visits, renovation work and follow-up service.
- Communicate about project scope, selections, scheduling and progress.
- Administer agreements, invoices, payments and warranty requests.

4. Project photos
Photos submitted with a quote request help us understand your existing space, visible conditions and renovation goals. We may review them with team members or service providers who need them to assess or deliver your project.
Sending photos for a quote does not, by itself, give us permission to publish them in our portfolio, advertising or social media. We will seek separate permission before using identifiable customer photos or project details for those purposes.
Before uploading: avoid including people, personal documents, valuables, access codes or unrelated private details. Remove location metadata if you do not want it included, and make sure you have permission to share the files.
5. Consent & communication
When you request a quote or contact us about a project, we use the information you provide to handle that request and communicate with you about it. The form of consent depends on the sensitivity of the information and the circumstances. We obtain express consent where required.
A quote request is not blanket consent to unrelated marketing. If we send promotional emails or messages, we do so only with consent or another basis permitted by applicable law, and provide a way to unsubscribe.
You can withdraw consent to optional uses by contacting us. Legal or contractual restrictions may apply. If withdrawal affects our ability to provide a requested service, we will explain the consequences.
6. Cookies & third-party tools

7. Sharing information
We share personal information as needed for the purposes described in this policy, including with:
- Team members, trades, suppliers and other project participants who need relevant details to assess, schedule or complete your work.
- Providers supporting website hosting, email, forms, file storage, IT, accounting or payment administration.
- Professional advisers, insurers, authorities or other parties where disclosure is required or permitted by law, or necessary to address a legal claim.
We limit the information shared to what is appropriate for the purpose and require service providers handling information on our behalf to protect it and use it for the services they provide to us. We may also share information when you specifically authorize us to do so.
8. Storage & retention
Information may be stored in our business systems and those of our service providers. Depending on the provider, it may be processed or stored outside Ontario or Canada, including in the United States, and may be accessible to authorities under the laws of those jurisdictions.
We retain information only for as long as reasonably needed for the purpose for which it was collected and for applicable legal, accounting, warranty or dispute-resolution requirements. Retention varies by record type: an unaccepted enquiry may have a different retention period from an active project, invoice or warranty record.
When information is no longer needed, we take reasonable steps to delete, securely destroy or anonymize it. Backup copies may remain until the relevant backup cycle expires. Contact us if you would like information about the retention of your particular records.
9. Protecting information
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, including limiting access to people who need it for their work. No website, email service or storage system can guarantee complete security.
